Administrative Assistant to the Dean

Union University seeks a qualified individual for the position of Administrative Assistant to the Dean for the McAfee School of Business. This 12-month position is responsible for providing administrative support to the Office of the Dean for the McAfee School of Business (MSB) and other leadership as needed.

Union University is a private, coeducational liberal arts-based university offering bachelorís, masterís and doctoral degrees. The campus is located in Jackson, Tenn. (80 miles northeast of Memphis) with additional campuses in Germantown, Hendersonville, and Memphis, Tenn. Position Description:

This position is the first point of contact for the McAfee School of Business (MSB) and is an integral team member who is welcoming, comfortable with technology resources, and willing to take on a variety of assignments.  Duties include:

  • Greet a variety of guests to the school.
  • Organize calendars and schedule appointments for the dean and others as needed.
  • Schedule and arrange visits for the dean with members of the business community in Tennessee.
  • Reserve rooms and arrange meetings for MSB.
  • Organize and facilitate department events, arranging them using the universityís scheduling system. (e.g., Faith in the Marketplace, Career Fair, Career Panels, Career Reception, Awards Reception)
  • Assign students to advisors.
  • Liaison with the admissions office.
  • Complete faculty load and pay reports with assistance from the dean and associate dean.
  • Assist dean and department chair with forms for hiring full-time and part-time faculty.
  • Work with personnel requests, adjunct contracts, and other human resources processes.
  • Process forms and documents for the school.
  • Create and maintain both physical and electronic filing and record-keeping systems.
  • Maintain supplies for the department.
  • Monitor building maintenance and place needed work orders.
  • Pick up and distribute mail.
  • Supervisor student worker(s) assigned to the school.
  • Create/ Coordinate scheduled for faculty/staff candidates for hire.
  • Offer recommendations to the dean regarding the administration of the McAfee School of Business.
  • Other duties as assigned by the dean of the McAfee School of Business.


Qualifications:

Graduation from high school or GED equivalent is required.  Preference will be given to applicants who have graduated from an accredited college or university with a bachelorís degree.  This position requires superb organizational skills, the ability to organize data and calendars, schedule appointments, as well as create and maintain physical and electronic filing and record-keeping systems. This position also requires demonstrated proficiency with Microsoft Word, PowerPoint, and Excel; the ability to work closely with the dean, faculty, and other staff of the school; the ability to work with confidential information and data; and strong written and oral communication skills. Preference will be given to candidates with prior experience as an administrative assistant or office manager, especially in higher education.  Preference will also be given to candidates demonstrating evidence of service contributions, working well with college-age students, and experience with social media.  In addition, preference will be given to candidates with proven ability to analyze data; understanding of marketing and recruitment processes; and experience with financial, payroll, and/or human resource data.
